1. Overview
This Billing & Refund Policy applies to all paid features, subscription plans, usage-based fees, add-ons, and third-party financial integrations offered by TaxWallet (“Company”, “we”, “our”).
This Policy governs transactions conducted through:
- The TaxWallet Website (www.taxwallet.ai),
- The TaxWallet SaaS Dashboard (app.taxwallet.ai),
- TaxWallet Mobile Applications (iOS & Android).
By using any paid features of the Platform, you agree to this Billing & Refund Policy.
All billing obligations apply to tax professionals, preparers, firms, and enterprise organizations.
2. Payment Information Storage & Encryption
TaxWallet allows users to store payment methods for subscription renewals and usage-based fees.
We store only the data necessary to process payments, including:
- Cardholder name,
- Expiration date,
- Billing address,
- Last 4 digits of card number,
- Encrypted full card number (never visible to TaxWallet),
- Processor transaction receipts, authorization codes, and response hashes.
All card data is encrypted using a user-specific encryption key. TaxWallet cannot decrypt stored card numbers outside of processor-initiated workflows.
CVV values are never collected, transmitted, stored, or retained under any circumstance.
When a payment method is used again, TaxWallet processes it through a tokenized Wallet ID provided by the payment processor. TaxWallet staff cannot view or retrieve full card data.
3. Supported Payment Processors
TaxWallet integrates with multiple payment processors solely as a technical proxy, including:
- Authorize.net,
- Intellipay,
- PaySafe,
- Pathward Bank (ePay).
All payment processing, approvals, declines, holds, and risk scoring are performed by these processors.
TaxWallet is not responsible for processor delays, disputes, system outages, chargeback decisions, settlement delays, or withheld payouts.
4. How Payments Are Processed
When a user enters payment information:
- The payment data is encrypted before leaving the user’s device,
- It is transmitted securely to TaxWallet’s servers,
- It is decrypted only long enough to be processed by the payment processor,
- It is immediately replaced by a tokenized Wallet ID and re-encrypted for vault storage.
TaxWallet never sees CVV and never retains raw card data.
All subsequent transactions use the Wallet ID.
5. Subscription Billing
Subscriptions renew automatically unless canceled:
- Monthly subscriptions renew every 30 days.
- Annual subscriptions renew every 12 months.
A valid payment method must remain on file.
If a payment fails, TaxWallet will attempt retries. Failure to resolve payment issues may result in:
- Suspension of dashboard access,
- Restricted access to client messaging, e-signatures, or workflows,
- Account lockout after repeated failures.
TaxWallet may charge a reactivation fee if access is restored following nonpayment.
6. Usage-Based Fees & Add-On Costs
Certain features incur additional usage fees, including:
- AI usage and document automation,
- E-signature events,
- Per-return billing,
- Banking modules, refund transfer workflows, and compliance steps,
- SMS and mobile communications,
- Additional office locations, staff accounts, and enterprise modules.
Usage fees are billed immediately or at the next billing cycle.
You are solely responsible for monitoring usage performed under your credentials.
7. Refund Policy (Strict — Limited Exceptions)
All payments made to TaxWallet are final, non-refundable, and non-reversible, including:
- Subscription fees,
- Usage-based charges,
- Add-on purchases,
- E-signature and workflow fees,
- Banking/refund transfer modules.
Refunds are issued only if:
- TaxWallet confirms a duplicate charge, or
- TaxWallet determines a billing error was caused by our system.
Refunds are not granted for:
- Failure to use the platform,
- Dissatisfaction with features,
- Incorrect usage or user error,
- Inability to operate software on user devices.
Where required by law, TaxWallet will consider minimum refunds mandated by regulation.
8. Downgrades, Upgrades & Plan Changes
You may downgrade your subscription at any time.
Downgrades take effect on the next renewal date.
No partial or prorated refunds are issued for unused time.
Upgrades take effect immediately and may increase monthly or annual charges.
9. Late Payments & Grace Period
If a payment method fails, TaxWallet provides a 7-day grace period to update the payment method.
After 7 days, TaxWallet may:
- Suspend access,
- Disable billing-related features,
- Impose reactivation fees where applicable.
Users remain fully responsible for outstanding amounts.
10. Merchant Account Integrations & Client Payments
TaxWallet allows tax professionals to connect external merchant accounts to collect payments from their clients.
By using this feature, you acknowledge:
- TaxWallet acts only as a technical integration proxy,
- TaxWallet does not handle, view, or store client payment CVV or raw card data,
- All payment issues (fraud, disputes, delays, denials, chargebacks) are the responsibility of the merchant processor.
Liability for all client payments rests solely with you and the merchant processor.
11. Future Payment Methods (Apple Pay & Google Pay)
TaxWallet may support Apple Pay, Google Pay, and similar tokenized payment systems.
All such payments will be processed through partnered payment processors.
TaxWallet does not receive or store underlying card numbers through these systems.
12. Chargebacks & Disputes (Maximum Enforcement)
Filing a chargeback against TaxWallet constitutes a material breach of the Terms of Service.
Upon receipt of a chargeback, TaxWallet may immediately:
- Suspend or terminate access,
- Lock documents, files, and communications features,
- Add administrative recovery fees,
- Pursue collections, legal recovery, or reimbursement.
Fraudulent or abusive chargebacks may result in permanent account termination.
13. Service Availability & Limitations
TaxWallet does not guarantee uninterrupted uptime or system availability.
Outages caused by government systems (IRS, states), merchant processors, carriers, or infrastructure partners do not qualify for refunds.
TaxWallet is not liable for damages resulting from delays, outages, or third-party failures.
14. Updates to This Policy
TaxWallet may update this Billing & Refund Policy at any time.
Material updates will be communicated via email, dashboard, or in-app notification.
Continued use of the Service constitutes acceptance of updated terms.
